Smoky Mountain Cabin Rental Rules - Guest Agreement | Site Map Please read the following rules & regulations of Smoky Cabins before you make your reservation. The guest is responsible for knowing the rules and regulations and adhering to them. Please mail balance to Smoky Cabins, P.O. Box 68, Alcoa, TN 37701 at least 2 weeks prior to arrival date. If not received in our office, we will charge the balance to the credit card number on file. Refusal - We have the right to refuse to rent our cabins to any guest at any time. We reserve the right to cancel a reservation at any time. Parties - Absolutely NO LOUD PARTIES are allowed in any of our cabins. Guests not abiding by this rule will be asked to leave the cabin with no return of rental premium. Basic Amenities - Heat and A/C, Stove, refrigerator, microwave, toaster, coffee maker, dishes, flatware, utensils, pots and pans, color TV/VCR, fire and smoke detectors, pillows and bed linens, blankets, starter supply of towels, washcloths and bath mats. Each Unit also has a starter supply of bar soap, dish soap, toilet paper, paper towel, laundry detergent and garbage bags. Once the starter supply is used, the guest must supply these items for themselves. Guests Should Supply - Items that the guest will need to supply will be, Charcoal for the grill, fire starter or kindling, extra blankets, towels for use at the river or park, cribs, high chairs and foil, plastic wrap and laundry soap, coffee filters and condiment. Reservations - The day you make reservations, your deposit is due either by Visa, Master Card or Discover or you have 7 days to mail in a check or money order. The deposit is 1/3 of the total. The balance is due atleast 14 days (two weeks) before your arrival date, and will be charged to the credit card we have on file unless otherwise instructed. No personal checks will be taken less then 14 days of your arrival date. There will be a $25.00 dollar service charge will be added to any returned checks. Your reservations can either be made by calling our office or making reservations on line. Privacy Policy - We respect and are committed to protecting your privacy. We may collect personally identifiable information when you visit our site. We also automatically receive and record information on our server logs from your browser including your IP address, cookie information and the page(s) you visited. We will not sell your personally identifiable information to anyone. Security Policy -Your payment and personal information is always safe. Our Secure Sockets Layer (SSL) software is the industry standard and among the best software available today for secure commerce transactions. It encrypts all of your personal information, including credit card number, name, and address, so that it cannot be read over the internet." Cancellation Policy - Due to holding these accommodations and in consideration of the fact that we did not rent this unit or these dates to others, we cannot return any payments unless you cancel 30 days prior to your arrival date (30 days). If you cancel and the date is greater then (30 days) from your arrival date we will refund your deposit, less our administration fee of $50.00. If you cancel less then 30 days but greater than 2 weeks prior to your arrival day, all money paid will be held for future use (within 90 days of original rental) as the deposit for a rescheduled stay or forfeited. There will be no refund of any monies collected given if you cancel within 2 weeks of arrival and no changes can be made to the reservation. All cancellations will be processed approximately on the 15th of the following month. Security and Damage Deposit - When you make your reservations and you do not use a credit card, then on arrival you may have to put a cash security/damage deposit down. The amount will vary depending on which cabin or chalet you reserve. After check out and your unit has been inspected and nothing found missing or damaged or extra cleaning needed, then your money will be returned to you within 14 days. If we do not require you to leave a damage deposit, you will be still be held responsible for any damage to that cabin during your stay. Cleaning Fee - We do charge a minimal cleaning fee depending on the size of your cabin. Between each guests stay, we have all of your linens sanitized for germ killing and cleanliness, sterilize the hot tubs, whirlpool tub, bathrooms, floors and kitchens. This cleaning fee covers general cleaning of the cabin. If the cabin is left unusually messy, ie: trash on floors, dirty dishes, furniture moved, spills on carpets/rugs, etc, there will be an additional fee of up to $100.00 charged to you. Smoking - All of our cabins are non-smoking. You are welcome to smoke outside if you place your butts in garbage recepticles. If you smoke in one of our cabins, there will be a $100.00 additional cleaning fee charged to you. Check-In and Late Arrivals - Our check in begins at 3:00pm each day. Since our guests go directly to the cabin, you may check in anytime after 3:00pm on the date of arrival. We will try to leave the outside light on for any guests that we know will arrive after dark. Checkout - Checkout is a 11:00 AM; if you check out later then you will be charged $100.00 minimum for a late check out. No late checkouts are allowed unless you have permission from the office. If your cabin has a key, when leaving, leave the key on the kitchen counter. Please make sure the front doors and back doors are locked. Make sure the key or keys are on the kitchen counter or there will be a $10.00 dollar key fee. Cleanup for Checkout - When you are ready to leave please put all dirty towels in the bathtub or shower, make sure all garbage is gathered and put into the outside receptacles (no loose trash please, bags only) and all the dishes you used are to be cleaned and put back up. Housekeeping will do the rest. If you moved any furniture, then you must move it back where it was. If you disconnected our TV cables to play games, then you must connected the TV and cable cords back. If you do not and we have to send out a TV repairman to hook back up the TV to cable or satellite to get the TV to work then you will be charge for the service call of $ 50.00. We are sorry you have to leave, but have a safe trip home and hope to see you again. Linens - The staff at Smoky Cabins goes to great lengths to make sure that our cabins are well stocked with clean linens that are in good condition. We wash & sanitize them after each stay for the next guests that come in. Please help us to maintain our linens by not using them to clean floors, shoes, cars, motorcycles, grills, kool aid, take off make up and such. If you do stain our linens there will a replacement cost charged to you. We do realize that accidents happen but please use paper towels to clean up things that permanently stain. We thank you in advance for your cooperation. Pets - Some of our units are pet friendly and do require a minimal pet charge. All pets have to be 10 pounds or under. Guests staying in our cabins are responsible financially for any and all damages and the following guidelines must be followed: Pets must be treated for fleas before arriving to the cabin, Pets must not be left in cabin alone unless crated, Pets must not be allowed to get up on the furniture (I f we find pet hair on our furniture, you will be charged $10.00 for each quilt/comforter/sofa that must be cleaned to remove the pet hair.)Hot Tubs/Pools/Saunas/Spas - When using hot tubs, pools, Saunas and Spas, please remember there is certain health risk that is associated with these facilities. It is the responsibility of the registered guest to inform anyone using these facilities during the term on the stay of the potential hazards. Our housekeepers drain, sanitize, refill and replenish chemicals in all hot tubs prior to your arrival. Hot tub covers are for insulation purposes and are not designed to support a person or persons. DO NOT STAND OR SIT ON HOT TUB COVERS, they will break and you may be charged up to $350.00 for replacement. Remember when not using the hot tub, leave cover on so hot tub will stay warm. If you have any questions on how to operate the hot tub, please call during office hours for assistance. Insects and Bears- While all units are sprayed monthly by a professional pest control company - wasps, ladybugs and other insects sometimes affect rental units. We are in the Great Smoky Mountains and sometimes we have unwanted little guest that might decide to visit you and your family. Sometimes, a bear may wonder from the park to your location. Please DO NOT approach a bear. They are not used to people and can do you much harm. If they get in to the garbage container, please call the office. Maintenance - When you arrive and find something is not working, please notify the office ASAP! We do everything to keep all equipment in good working order. If something is not working properly, we will do our best to get it up and running for your stay. Upon your arrival we will give you an after hour emergency number. If you call after hours to report something and it is a true emergency then you will be contacted back ASAP, if it is not a true emergency and it can wait to business hours, then you will not be called back till the following day. Fireplaces - Most of our units have either gas burning fireplaces or wood burning. All fireplaces are usable from October 1st to the 1st of April. No foreign materials are to be burned in gas fireplaces. Telephone Service and Internet - Not all of our units have normal telephone service. Most have good cell service. Lost and Found - Smoky Cabins is not responsible for personal property left after your departure. If you find you have left something, please call the office and we will try to locate it for you and return it COD to you. Television, Stereo and CD/DVD Players - All of our units are privately owned and the homeowners chose the level of TV service, which may consist of (satellite, cable, or antenna). Smoky Cabins is not responsible for TV reception or operation. Not all units have CD/DVD or stereos. Damages: Guest will be responsible for all intentional or reckless damages, and the credit card on file will be charged for repair of property or replacement of damaged property. Guest also authorizes agent to charge any expenses relating to intentional or reckless damage, cleaning of the unit beyond a normal cabin clean (EX: heavy partying, trash, etc.), or theft of any property from the unit, to the credit card on file for that cabin. The guest who uses their credit card for the deposit is considered the responsible party, and all necessary charges concerning said cabin will be charged to the credit card on file, no matter who in the group caused the damage. Refunds - No refunds will be given due to inclement weather, malfunctions in equipment (i.e. hot tubs, saunas, Whirlpool tubs, television, stereos or VCR) IF a problem happens with the equipment then we will get it fixed ASAP! There will be NO refund for early departure for any reason. All of the rentals are privately owned units; neither the owner nor Smoky Cabins is responsible for any accidents, injuries or illnesses that occur while the premises or its facilities. Nor is Smoky Cabins or the Private Homeowners responsible for the loss of personal belongings or valuables of the guest. By accepting this reservation, it is agreed that all guest are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premises.
